Best Receipt Scanning Apps for Accountants (2026)
Receipt capture is the front line of bookkeeping: every client shoebox, envelope of gas receipts, and inbox full of supplier invoices has to become a clean, attached, coded transaction. A good receipt scanning app removes the typing. For accountants, the deciding factors are OCR accuracy on real-world receipts, a multi-client workflow, and where the data lands afterward. Here are the four we would shortlist in 2026, with how they differ.
Our assessment is editorial research based on vendor documentation and published pricing pages, not hands-on testing; prices change, so verify current rates before committing.
| Product | Pricing | Best for | Rating | |

How we evaluated#
We compared each service on: OCR extraction quality for receipts, bills, and bank statements; the client-submission workflow (app, email-in, upload portal); publishing targets and quality of the ledger integration; pricing model at typical firm volumes; and how each handles the document archive (searchable source images attached to transactions). This is a research-based comparison — vendors' own documentation, pricing pages, and integration marketplaces — last checked October 2026.
1. Dext — best for accounting firms#
Dext (formerly Receipt Bank, now split into Dext Prepare and Dext Commerce) is the firm-grade option and the one most built for exactly this workflow: clients snap or email receipts, the OCR extracts vendor, date, amount, and tax, and items land in a review queue that publishes to Xero or QuickBooks Online with the source image attached. Bank-statement extraction and supplier rules round out the feature that matters most at volume — less typing per document. It is priced per client per month, which adds up, but for a firm billing for bookkeeping it is the strongest combination of accuracy and multi-client workflow. We cover it in depth in our full Dext review. See also our coverage of AI bookkeeping software for solo CPAs, where Dext appears alongside the ledger tools it feeds.
2. Hubdoc — best free option for Xero firms#
Hubdoc is owned by Xero and included with Xero subscriptions, which makes the decision easy for firms whose client base runs on Xero: it is effectively free. Capture is by mobile app, email-in, and web upload; OCR reads receipts, bills, and credit-card and bank statements; and documents reconcile into Xero (or QuickBooks Online) with the source attached. Compared with Dext the review workflow and extraction rules are simpler, and per-client extras like client chasing are lighter — but at included-with-Xero pricing, most firms should try Hubdoc before paying anyone for capture. Firms standardizing on Xero should also read our Xero review.
3. AutoEntry — best pay-as-you-go#
AutoEntry (owned by Sage) prices by credit packs instead of per-client subscriptions: you buy credits, and receipts, invoices, and bank statements cost different credit amounts. That model suits firms with variable volumes — seasonal work, catch-up engagements, or a handful of clients who will not move to subscription tooling. It publishes to QuickBooks Online, Xero, and Sage ledgers, and its invoice and bill capture is a genuine alternative to Dext for firms that prefer paying per document. Watch the credit burn at scale; heavy monthly volume is usually cheaper on a subscription.
4. Shoeboxed — best for mailed-in receipts#
Shoeboxed is the longest-running answer to the literal shoebox: clients mail receipts in a prepaid Magic Envelope and Shoeboxed scans, OCRs, and organizes them, or uses the mobile app for capture on the go. Export goes to QuickBooks Online, Xero, and CSV/Excel. For firms whose clients will never photograph a receipt, the mail-in service is the differentiator; per-month plans and envelope pricing mean it is worth modeling against credit packs, but no one else makes paper somebody else's problem quite the same way.
What about AP automation?#
Receipt capture is the front end of a bigger pipeline. If the goal is end-to-end invoice processing — approvals, payments, and syncing — see our best AI AP automation tools guide, where capture feeds tools like Ramp, BILL, and Vic.ai.
And for the paper that still arrives at the office — client documents, statements, bound receipts — a desktop scanner beats a phone camera: see best document scanners for accountants.
Verdict#
Match the tool to your ledger and your volume:
- Xero-based firm: Hubdoc first — it is included, and upgrades only hurt if it fails you.
- Multi-client firm on mixed ledgers: Dext — the firm workflow and OCR are the benchmark, at a price.
- Variable or seasonal volume: AutoEntry credits.
- Clients who mail paper: Shoeboxed.
Whichever you pick, the win is the same: receipts become attached, coded transactions instead of a January envelope.
